Patient Encounter

Patient Alerts

  • Elixir’s patient alerts consist of (a) Allergies and (b) Medical conditions. 
  • A comprehensive list of Allergies is available from where the service provider may select relevant allergies in order to maintain the clinical history of each patient. 
  • Medical Conditions such as Pregnancy, Diabetes, HIV / Aids can also be linked to the patients’ clinical history.
  • Furthermore, when a patient alert has been specified a warning message is displayed whenever a prescription is posted for the particular patient.

Referrals

  • Elixir caters for both referrals received from and referrals sent to other colleagues.  Referrals sent to another colleague can be recorded for reference purposes.
  • Referrals received from other colleagues are also linked per patient.  The Referral from information specified per patient is used as the default referral information when posting debit transactions.  Elixir allows the user to accept the default information or alter at the time of posting per transaction item.  This ensures that specialist service providers’ claims contain all medical scheme required information.

Patient Recalls

  • The Recalls due report compiles a list of patients that have not visited the practice for a certain period of time.  With the compiled report displayed on screen, the user can  simply print the report or use the Mail merge button to access a pre-defined Practice Template from where  recall letters or cards for all the patients can be generated..

Patient Labels

  • Elixir allows for the customisation of all Patient Labels to suite the practice’s individual needs by using the user-defined label templates that includes mail merging facilities.
Clinical Features

Customisable Clinical Templates

  • Service providers can pre-define all their clinical documents using the Elixir Clinical Templates feature.  This enables a service provider to link all clinical notes and / or documents to a selected patient within the program.  Access to the clinical notes and / or documents is obtained through the Elixir Clinical Information viewer.
  • When defining the contents of the Clinical Template, Elixir allows the user to specify mail merge fields directly from the database.  This ensures that a single Clinical Templatecan be set up to be used for all patients.

Standard Dental Charting

  • The NHRPL indicates that certain dental procedures require the user to specify tooth / teeth numbers.  Elixir allows for the posting of  dental procedure codes and specifying these tooth / teeth numbers using either a Standard Dental Chart or the Tooth selector screen.
  • To keep the dental history of a patient, the user  can choose to link multiple dental charts to a particular patient.  Either work in Plan mode or in Recording mode.   When working in Plan mode, all procedures indicated on the Dental chart will only have outlines whereas when working in Recording mode all the procedures will be indicated with solid fills.

Voice Recording Capability

  • Elixir has the ability to link previously recorded voice recording files, in *.wav format, to a particular patient. 

Interfacing with Clinical Equipment

  • Elixir has a built in interface with Trophy, a dental imaging program developed by Trophy Radiologie.  This interface allows users to link all dental images recorded within Trophy to each patient.

Clinical Structures

  • A Structure comprises of user defined preset data elements.  The Structure has been designed to replace the paper questionnaires or forms that a service provider typically completes when interviewing or examining a patient.  The Structured data template is a visual tool that is used to place data components on electronic forms.

Imaging (all graphic formats)

  • Elixir caters for most types of graphical file formats, *.JPG, *.TIF, *.GIF and *.BMP and DICOM.
  • Images can be linked to each patient using the Elixir Clinical Information Viewer. These images are saved as part of your Elixir database.
  • The Digital Imaging and Communications in Medicine (DICOM) standard is aimed at allowing simplified development for all types of medical imaging.  The DICOM Standard has reached a state of maturity and has been embraced by the majority of medical equipment manufacturers.  Radiologists and service providers of other specialities increasingly use digital image analysis and computerised patient data management systems in their hospitals and practices.
  • DICOM images can be linked  to each patient on a per case basis using the Elixir Clinical Information Viewer.
Financial Features

Reports: Standard


  • The comprehensive range of customisable reports covers important areas of practice management including:
    • Transaction audit trail reports
    • Account and Medical fund age analysis reports
    • Procedural analysis report
    • Turnover analysis report
    • Cardex analysis report

Reports: Advanced

  • Specific reports have the ability to export to the following formats:
    • Microsoft Excel (*.xls)
    • Text (*.txt)

  • Certain reports generated by Elixir have the ability to be converted in graph format similar to Excel or Quatro Pro.  These graphs can be printed.

Credit Control Procedures

  • Credit control procedures can be simplified by using Elixir’s Credit Control Notes linked to each Account holder.
  • Elixir assists a practice in their credit control procedures by having the ability to enter credit control notes, appending to the notes every time the user adds information.  The account age analysis can be printed in details, specifying the relevant contact details for the patient as well as the medical fund details for ease of use as well as multiple line separators to ensure enough space is available for additional notes to be written down.

Colour Coded Account Grouping

  • Accounts can be visibly categorized by using multiple account groups.  Each account group is associated with a colour.  This may be used to indicate friends of the doctor or even for suspended accounts which will cater for a financial block.

Orthodontic Treatment Plans

  • Certain Orthodontic procedures can be very costly and the treatment is only completed over a period of time. Certain Orthodontic payment plans can be set up  to enable the medical fund/patient to pay an initial deposit with monthly instalments (all depending on the time period negotiated).

Capitation

  • Depending on the practice requirements, Elixir can specify whether capitation should apply to Medicines or Procedures.  Therefore zero billing can be applied on medicines only or procedures only or both.

Estimates

  • When a Medical fund requires an Estimate for authorisation purposes prior to commencing with the treatment or the patient requires information regarding a treatment plan, or when simply planning a treatment, an Estimate is used.  By using an Estimate, the transactions entered will not affect the financial status of the account.

    If a medical fund approves the estimate, the transactions may be converted to valid transactions on a specified date.
Coding Features

Procedural and Other Industry Codes

  • Elixir caters for all industry requirements.  The available functionality includes the complex pricing structures currently required where each medical scheme might require different pricing structures, as well as modifiers, assistant fees, anaesthetist fees and levy calculations.
  • Fully compliant with:
    • CCSA
    • NHRPL
    • NAPPI
    • ICD-10 codes
  • Elixir supports all medical disciplines’ procedural codes including modifiers.

Diagnostic Codes

  • Elixir has a full range of all ICD10 codes and caters to the Fifth character sub classification; the code format is validated and Elixir displays warning prompts on codes used in the incorrect position.  The short & long description as well as PMB details and chronic disease details is displayed
Claiming Features

Electronic Claiming

  • Elixir supports electronic claim submissions in batch or real-time via the following switching companies: DHSwitch, HealthBridge, Mediscor and MediKredit.
  • EDI history can be viewed on the each transaction line containing the date of submissions with information pertaining to the status and reference numbers

Statements

  • Statements can be sent electronically via E-mail to patients or through windows faxing software.  A full history is kept of when a statement was printed for each account and what the value of that batch statement was
Stock Management Features

Dispensing and Prescribing

  • When dispensing or prescribing medication the user is able to select between generic, MMAP, MRP and MPL drug lists as well as making use of formulary pricing when relevant.
  • Elixir can accommodate multiple Medical Aid Formularies.  The formulary price can be charged on medication per service provider by selecting the formularies to use.
  • A tiered pricing format has been implemented which allows Elixir to cater for all pricing rules.
Administration & General Features

User Security Levels

  • Different users with individual user rights can be set up.  Different levels of security measures can be set up. Tracking is kept within the database of each users activities. 

Multidisciplinary Service Providers

  • Elixir allows multidisciplinary service providers in one dataset.  The posting of transactions is linked to the service provider and will charge the correct pricing depending on the service provider.

Integrated Word Processor

  • Elixir has its own integrated word processor with basic editing facilities and caters for mail merging from within the PRACTICE MANAGEMENT SOFTWARE database

SMS and E-mail features

  • Predefined SMS’s can be setup to send to users from multiple locations or an SMS can be sent to a specific user immediately.  E-mail can be sent from multiple locations to different entities eg. Account holder, medical fund, providers, suppliers etc.

Customisable look and feel

  • Elixir allows the user to alter the way columns are displayed. A column's name, its position, its width and which columns to display can be changed. Elixir has been designed in such a way to allow users to choose what is displayed on any screen or table at any given time. This means that by default not all the available information might be displayed in a particular table, e.g. the Elixir account transactions screen does not display any EDI (Electronic Data Interchange) information unless is has been selected.

Off-line Data Synchronization

  • Historically practice management applications have not been able to append to databases.  This means that if information needed to be transferred from one pc to another, a backup had to be made on PC one, and restored on PC two.

    Elixir has revolutionized this process with it’s synchronization capabilities.  Instead of replacing existing data with a data backup, Elixir is able to append new or altered information to another existing database.

Keyboard-compatible and/or mouse-driven

  • Elixir can be driven either by mouse or by keyboard, nearly all options have shortcut keys, therefore DOS users will still feel comfortable moving over to a windows product.
Third Party Interfaces

Coretalk

  • Coretalk offers a more efficient communication process through SMS as these communications are happening automatically without the need for human intervention. This helps to reduce credit control costs as well as improved service levels because patients are receiving constant and clear communications.

DHSwitch

  • DHSwitch’s core business lies in the switching of transactions between various medical practitioners and institutions. Primarily, the business offers the ability for a medical practitioner to submit an electronic claim, on behalf of the patient, through to the patient’s medical scheme.  Claims can be submitted in both real-time as well as in batch modes.

HealthBridge

  • HealthBridge is South Africa’s leading healthcare e-commerce service provider.  Their cutting-edge technology and user-friendly e-commerce solutions provide instantaneous exchange of critical information between medical aids and medical service providers, improving administrative efficiencies.

MediKredit

  • The Elixir interface with MediKredit provides on-line real-time management of healthcare transactions.  MediKredit is South Africa’s first Health electronic Management (HeBM™) company that offers financial and clinical risk management services to funder and service providers at the point of servicing the patient / member.

Mediscor

  • Mediscor is a PBM that is used by all retail pharmacies in the country for contracted schemes, while DHS leads the South African healthcare market in electronic connectivity. DHS is the only online real-time claims switching facility that is linked to pharmacies, independent PBM’s, medical schemes and doctors.

Medprax

  • The Elixir interface with Medprax facilitates the electronic import and update of pharmaceutical products and their prices as well as Medical Aid information.

Trophy

  • Via Elixir a user access the Trophy for Windows version 4.1k program. This program is developed by Trophy Radiology and enables users to handle different imaging products used in the dental market. Please take note that Elixir only replaces the Trophy Patient Maintenance program but the imaging is still done by the Trophy software.

TurboCASH Accounting

  • The TurboCASH Accounting package is aimed at small- to medium-sized businesses.  With the Elixir interface, the user is able to export Debtors and Creditors figures from Elixir into TurboCASH from where its full accounting features can be used.

Voyager

  • Microworks assist the user with their credit control procedures.  Extracts can be made for Microworks who will follow up and assist with the debt collection process.
